Setup Guide for SDC Internet Email in General

The details for setting up an email program to access your SDC email account varies from one email program to the next, but most email pgrograms will ask for the same information.

First, you will be asked what mail protocol to use for retrieving your email. We support two protocols, POP3 and IMAP4:

POP3
This is the default for many desktop email programs. Your email program will download mail from our server to your computer, then it will delete the copies on our server. Your mail will be saved on your PC, where you can read and organize it at your leisure. This is a good choice if you will only ever use one PC for your email. However, this is not a good choice if you want to access your email from more than one PC or from Webmail while traveling.
IMAP4
This is the default for many mobile email programs. Your email will reside on our mail server, where you can access, manage, and organize it using more than one PC, tablet, or phone, or our Webmail application. This is a good choice if you travel frequently or want to use more than one device (a PC and a phone, for example) for email.

The other things your email program may ask you for are fairly consistent. If you have any doubts about settings, your email program's default choices are usually the best.

  • Incoming server name: mailhost.sdc.org
  • Username for incoming server: The part of your email address before the "@" sign. For example, if your email address is "janedoe@sdc.org" then the username is "janedoe".
  • Password for incoming server: The password that we assigned for your email account. If you need to change your password, then please allow up to 20 minutes for the new password to go into effect. If you lose your password, then please call our office to reset it. We can't retrieve passwords, but we can set a new one.
  • Security and incoming server ports: We support SSL/TLS and STARTTLS for security. STARTTLS is recommended:

    • For POP3 accounts:

      • SSL/TLS: Port 995
      • STARTTLS: Port 110
    • For IMAP4 accounts:

      • SSL/TLS: Port 993
      • STARTTLS: Port 143
    Your email program may choose the right port automatically, or it may not.
  • Outgoing server name: smtp.sdc.org

    • Your email program may call this the SMTP server name.
  • Outgoing server username and password: Our outgoing server requires authentication, and you'll need to tell your email program to let you put in a username and password. The username and password for sending mail is the same as for receiving mail.
  • Security and outgoing server ports: We support SSL/TLS and STARTTLS for security. STARTTLS is recommended:

    • SSL/TLS: Port 465
    • STARTTLS: Port 587

      • You can also use STARTTLS on port 25, but we do not recommend it. We don't block port 25, but many ISPs and virtually all free wi-fi hotspots do. If your email program uses port 25 and you travel, you may run into the situation where you can receive mail but you can't send mail.
      Your email program may choose the right port automatically, or it may not.

Your email program may ask for your name, not just your email address. When you send mail to other people, then whatever you type in for your name is who they will see your mail is from. If you don't type in a name, then your recipients will see only your email address as the sender, not your name.
